Room Booking Process 2018-12-20
This is a temporary page to convey the following information to the student teams operating out of the Dyson Centre. At some point it will be replaced by a forwarding link to the relevant Building and Estate Services webpage.
Rich's understanding of the new process for booking lecture theatres and meeting rooms for student teams is as follows:
The Event Planning Flow Chart is a document supplied by Mrs Rachel Williamsas Head of Building and Estate Services which relates to students and student societies booking lecture theatres and meeting rooms (note that this does not include communal spaces such as the Library, Dyson Centre and DPO).
To highlight, students should approach Reception (reception@eng.cam.ac.uk), as per the start point of the document, to request allocation of a unique EV-xxx number and to get the Event Planner template sent out to them. The required set of paperwork should then be returned to Reception a minimum of 2 weeks (ideally 4 weeks) prior to the event taking place".
If necessary, it is also suggested that they obtain proof, from Dr Richard Roebuck, that they are a legitimate engineering group or team, in order to try to avoid any room hire costs being levied.
Part of the rationale for the process is that those making the booking are responsible for organising a swift evacuation in the event of the fire alarm sounding; also that in the event of first aid being needed (not unlikely for large events with a practical element) the organisers are also responsible for obtaining such medical assistance; compounded by large groups, who may not be familiar with our buildings and in some cases children being present. Issues of clearing up after food consumption, or rearrangement of furniture regularly impacts on events first thing the following day and so needs to have additional staff provision.
A Low Risk Event Risk Assessment template is also available, to make less onerous the booking process for 'simpler' events - however, please still approach Reception in the first instance.
